Who are we?

The Amsterdamse Studentenvereniging Gay (A.S.V.Gay) registered in Amsterdam, The Netherlands, contactable at info@asvgay.nl or Nieuwe Achtergracht 170, 1018 WV Amsterdam. We are registered in the trade register of the Chamber of Commerce under number 34382807.

What data do we collect?

  • Your name (first name and surname)

  • Your home address

  • Your personal telephone number

  • Your emergency contact telephone number

  • Your personal email address

  • Your date of birth

  • Your student status

  • The university you attend, your student number and what you study

  • Your bank account number (IBAN)

  • The name of the account holder for your bank account

Sometimes we may require further information for the purposes of an association activity. We will always ask your permission for this data and we will inform you of your rights. Furthermore, we will state what we need this data for, how it will be processed and how long we will keep this data.

Why do we collect this data?

We collect this data to follow the rules of our membership procedures. This data is necessary for the collection of membership dues, the issuing of membership cards and the protection of the interests of members.

Who do we share this data with?

  • The data we collect is shared with current board members of A.S.V.Gay for the execution of their duties.

  • Committee members have access to limited data for the execution of their duties. They are required to sign a non-disclosure agreement at the start of each association year.

  • Limited data (name and photo) is published in our yearbook and/or almanac.

  • Limited data (student numbers) is shared with educational institutes in the Amsterdam area to support the activities of the association by providing office space for the association and financial support to board members.

  • Limited data (name and email address) is shared with GroupLink to develop our association app. They have signed a processing agreement.

  • Limited data (name and email address) is shared with Mailchimp to send our association emails.

  • Limited data (photo's during activities) will be shared with committees and will be shared on the internal facebookpage and on the association app. These photos will never be shared externally without written permission.

Will this data be transferred outside of the EU?

No.

How long do we keep this data?

We keep this data for as long as necessary to fulfil our legal obligations for record-keeping. This means that the data is kept for up to seven (7) years for financial reporting needs.

What rights do you have?

  1. The right to data portability. The right to transfer personal data that you provide to us to others.

  2. The right to be forgotten. The right to request that your data be deleted.

  3. The right of inspection. That is the right to see the personal data that we have from you.

  4. The right to rectification and supplementation. The right to change your personal data that we have.

  5. The right to have less data processed.

  6. The right of oversight for automated decision-making and profiling. In other words: the right to a human look at decisions.

  7. The right to object to data processing.

You always have the right to withdraw permission for your data or specific parts of your data to be processed by us. If you would like to do so or have a complaint about the data processing you can contact the secretary of the association at info@asvgay.nl. We will respond to your request within one (1) month of receiving it. You can also file a complaint with the Dutch Data Protection Authority.

Are you obligated to provide this data?

Yes, to be able to join A.S.V.Gay and participate in activities organised by the association we need this data. If you do not provide this data you unfortunately cannot take advantage of membership benefits such as discounts at partners and participation in closed activities.

Do we use automated services for profiling you or making decisions?

No.

Do we collect data about you from other sources?

No, we only collect the data you specifically, actively and directly provide us with.

How do we protect your data?

A.S.V.Gay is extremely committed to the protection of your data and takes appropriate measures to prevent abuse, loss, unauthorised access, unwanted disclosure and unauthorised changes.
